How to fill in a PDF form without printing it

A PDF does not need built-in form fields to be filled in. FileKindly can find blank lines and boxes, and you can also place text yourself. This guide takes you from a blank form to a downloaded copy.

Before you start

Have the original PDF ready. If it is password protected, you will need its password. Keep a blank copy so you can start again if needed. The PDF is processed on your device; Pro saved-detail syncing stores those details with your account.

Step by step

  1. Choose your PDF

Open Fill in a form using the button above and choose your PDF. It opens in the editor. Wait for the pages and detected blue boxes to appear.

  2. Enter your answers

Click or tap a blue box and type. If a blank is missed, use Type text and click where the answer belongs. Add ticks to the boxes you need. Review the placement on every page.

  3. Reuse details if helpful

Enter your details under My details, then choose Fill in my details. Check each answer: automatic placement can need correction, especially on unusual layouts. You can also fill everything manually.

  4. Add a signature if required

Choose Sign, draw your signature, then select Use signature and place it on the signature line. Adjust its size. Check the recipient’s requirements before using a drawn signature.

  5. Download and review

Choose Download PDF. Open the downloaded copy and check the answers, ticks and signature before sending it. Downloading a file does not submit the form to its recipient.

Example workflow

For a course registration form, fill the name and student-number blanks first, tick the course choice, and then add the date and signature. This is an example workflow; always follow the instructions printed on your own form.

Check your result

  • Every required field has an answer.
  • Text fits inside the lines and boxes.
  • The downloaded copy contains all pages and your changes.

Common questions

What if no blue boxes appear?

Use Type text to place answers manually. Automatic detection depends on the form layout; it may miss blanks or identify the wrong area.

Can I fill it in on a phone?

Yes. Choose the PDF from your files, tap a box to type and zoom in when positioning text. Large forms can be easier to review on a computer.

Where is the downloaded file?

Look in your browser downloads or your device’s Files or Downloads folder. The location depends on your browser settings.
